In the sidebar, open **Administration**, then choose **Work Modes** under **Workspace**. On **Workspace Experience**, press **Entity defaults** above the profile list. The panel opens at `/settings/org/experience/entity-defaults`.

This is the one place that renames the notes and files tabs on a record, for example calling **Notes** "Site log" on work orders for people in **Field Work** mode. Each setting applies to one kind of record in one mode, for everyone who ends up in that mode. Which mode a person gets is set in [[turn-on-work-modes]] and [[create-an-experience-profile]].

## Before you start

- Your admin has to give your role permission to write experience settings. Otherwise every field is greyed out.
- **Enable experience modes** has to be on. While it is off, everyone sees the plain tabs.

## Steps

1. Press **Entity defaults**. A full-screen panel lists every kind of record. **Work orders** and **Accounts** are open; press any other, such as **Projects**, to open it.
2. In **Entity default mode**, pick the mode this kind of record starts in, or leave **Auto** to let roles and profiles decide.
3. Under **Allowed modes**, press a mode to allow or block it for this kind of record. At least one has to stay allowed.
4. Find the card for the mode you want to change, such as **Field Work** or **Standard**.
5. Type the names you want in **Notes label**, **Files label**, **Access label** and **Activity label**. Leave one blank to keep **Notes**, **Files**, **Access** or **Activity**.
6. Pick the tab that opens first in **Default resource tab**: **Notes / log**, **Files / library**, **Access** or **Activity**.
7. Pick **Notes variant** (**Default notes** or **Field log**), **Files variant** (**Default files** or **Field capture**) and **Notes layout** (**System default**, **List** or **Grid**).
8. Switch **Show activity** off to hide the activity tab for this kind of record in this mode.
9. Each change saves on its own a moment later. Close the panel when you are done.
10. Press **Preview** on **Workspace Experience** to check the result for a real team member. See [[preview-the-layout-a-person-gets-from-work-modes]].

## What you see

- Every kind of record has a card for each of the six modes, including modes switched off in **Mode catalog**. A card for a mode nobody uses has no effect.
- Each record's heading line shows "Default mode:" followed by the mode's short code, for example `office` for **Standard** or `field_service` for **Field Work**.
- Renamed modes show under their new names on the cards.

## If something looks different

- A message says **Unable to autosave Workspace Experience.**: the last change was not saved. Check your connection and make the change again.
- Blocking a mode refuses with **Each entity needs at least one allowed mode.**: allow another mode first.
- A team member still sees the old tab names: they are in a different mode than you changed, or **Enable experience modes** is off. Use the preview to see which mode they get.
- The panel's description mentions folder visibility, but there are no folder settings in it. Folders are switched on and off per kind of record in [[turn-on-folders-for-record-types]].
