Open **Settings**, then **Customer Messages** under **Communications**.

## Shared privacy limits

Expand **All customer messages**, then **Customer privacy**. Allow staff names and approved customer photos here. These limits apply to every category and branch. Personal profile photos are never shared automatically. Turning photos off removes them from unsent messages.

## Choose what a category shows

1. Choose **Messages for** and open the sending details card and choose **Change**.
2. Under **Team names and photos customers see**, choose **Business only**, **Assigned team members**, or **A specific team member**.
3. Choose the name format and whether to include an approved photo in emails, texts, or neither.
4. Choose **Save changes**. Use **Use default** to remove a customization.

Assigned team members are available for work orders, appointments and activities. Lodging, rentals and financial documents can show the business or a specific team member. Missing assignments use the business; a missing photo never prevents delivery. Photo texts require a number that supports MMS.

Each person has one customer-facing profile in **Team members**. Categories decide how to present that profile; they do not create extra profiles or photos. A person's chosen customer-facing name takes priority over the name format.

For different branch choices, select the branch in the top bar. When one message needs different presentation, choose **Change who it's from…** in that message's ⋯ menu; the row then shows **Own sender**. Global privacy limits still apply. Your role must allow customer identity changes, and your plan must include the relevant customization and photo capabilities.
