Generate a statement
Build a statement of invoices and payments for one customer or a batch of customers over a date range, then lock it so it can be sent.
In the sidebar, open Sales & Billing, then Statements, then Statements. The page address is /statements.
A statement sums up one customer's invoices and payments over a period and shows what they still owe. Nova builds it from the invoices and payments already recorded, so nothing here changes a balance.
Before you start
- Your role needs permission to create statements. If you do not see Batch generate, ask your admin.
- Statements always use your organization's currency.
Steps
- Press Batch generate. The Generate Statements panel opens above the list. (The same button now reads Hide generate.)
- Under Add accounts, search for a customer and press Add account. Repeat for every customer you want a statement for. If you already filtered the list to one customer, Add filtered account adds them in one press.
- Leave Statement ID blank to let Nova number the statement.
- Set Period start and Period end. Every statement in the batch covers the same period.
- Press Generate statement for one customer, or Generate batch for several. Each customer gets their own statement as a Draft.
- Open a draft in the list and press Lock. A locked statement reads Ready to send, and only a locked statement can be sent.
What you see
- The list shows each statement's number, period, account scope, Status (Draft, Ready to send, Sent, Canceled or Superseded) with its delivery state, balance and aging.
- Open a statement to see its Opening, Activity, Closing and Overdue figures, the invoices and payments inside it under Aging and open documents, and every earlier copy under Version history.
- Preview / print PDF opens the saved PDF in a new tab. Download PDF saves it.
- Open the Filters panel to narrow the list by Status, Delivery, Viewed, period dates, or Only statements with overdue balance.
If something looks different
- The figures are wrong because a payment was recorded after the statement was made: open the statement's actions menu and choose Regenerate. Nova asks why, keeps the old version, and builds a new one.
- You made a draft by mistake: the actions menu offers Cancel draft. A cancelled draft can no longer be locked or sent, but stays on record.
- Batch generate is greyed out while you are inside a statement made in an older currency: go back to the list first.
- Want statements to go out on their own every month? That is Statement Schedules, under Sales & Billing, then Statements, in the sidebar. It shows when your menu size includes advanced pages; ask your admin.
