Send a statement
Email or text a locked statement to a customer, send a batch of statements at once, or share a portal link they can open any time.
In the sidebar, open Sales & Billing, then Statements, then Statements. The page address is /statements.
Before you start
- The statement has to read Ready to send. A Draft cannot be sent; press Lock on it first. See Generate a statement.
- Your role needs permission to send statements. If you do not see Send, ask your admin.
Steps
- Open the statement and press Send. On a statement that already went out, the button reads Send again.
- Pick the Delivery channel:
- Auto lets Nova use the customer's saved delivery preference.
- Email shows a To field; press Add CC/BCC for those. Leave To blank to use the contacts saved on the account, or search for a contact or type an address.
- SMS asks for the phone numbers to text.
- Portal only posts the statement to the customer portal without a message.
- Manual records that you delivered it another way, such as a printed copy.
- For email, add a Subject (optional) and a Message (optional). The message appears above the statement summary in the email.
- Press Send statement. The delivery pill under Status changes to Sent.
To send several at once, tick the statements in the list and press Send selected above it. The dialog confirms with Send selected too. Leave the recipient fields blank so each statement uses its own saved delivery details.
The optional email message supports bold, italic, underline, lists and links through the shared editor. On a phone, press Formatting to show the tools. Nova includes the formatted note above the statement summary and keeps a plain-text counterpart.
What you see
- Share / manage link on a locked statement opens the customer's portal link so you can copy it or turn it off. The customer sees the statement after signing in to the portal.
- The Viewed filter shows which statements customers have opened in the portal.
- Activity history on the statement lists every send and every portal view.
- Open account view in the actions menu jumps to the same statement on the customer's account page.
If something looks different
- Send is missing on a statement: it is still a draft, it was cancelled, or your role cannot send. Check the Status column.
- The send dialog shows no saved recipients: the account has no contact with an email address. Type one in To or add a contact first. See Add a contact to an account.
- A customer says the figures changed since you sent it: the statement was regenerated. Open Version history to see each copy, and press Send again to deliver the latest.
