Nova Help

Create a quote

Start a new quote, choose the customer, add the lines and packages you are pricing, then save it as a draft.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Sales & Billing, then Quotes. The page address is /quotes. A new quote opens at /quotes/new.

Before you start

  • The customer needs an account in Nova. If they are new, you can create the account from inside the quote as long as your role can create accounts.
  • Your role needs permission to create quotes. If you do not see New quote, ask your admin.

Steps

  1. Press New quote at the top of the Quotes list. A blank quote opens.
  2. Under Customer account, type the customer's name in Search accounts and pick them from the list. If your organization has more than one branch, Quote branch shows which branch the quote belongs to. It follows your current branch; press Change to pick another.
  3. Check the quote date and the Expiry date. Nova fills them in from your organization's defaults. Shorten the expiry if this price only holds for a little while.
  4. Press Add line and type what you are quoting: a description, the quantity and the price. Repeat for every line.
  5. To group lines into a package, open a line's menu and choose Add sub-item. That line becomes a Package and the new line sits under it. On any other line, the menu's Add to the line above moves it into the package above it, and Move out of the package takes it back out.
  6. Press Save. Nova saves the quote as a draft and gives it a quote number, which stays with it and is fixed once the quote is sent.

Note: The arrow next to Save offers Save and close, Close and new and Save and send. Save and send never sends by itself. It saves, then opens the send screen so you can check everything first. See Send a quote.

What you see

  • Supporting attachments can be added to a saved quote in any state. Open Attachments, add files or web links, then press Save attachments. The quote itself and its price stay as recorded.

  • The status chip reads Draft, and the delivery line reads Not sent until you send the quote.

  • The quote number appears in the header once the quote is saved.

  • The total updates as you add or change lines.

  • Every line's menu also offers Edit item, Move up and Move down, so you can rearrange lines without dragging.

If something looks different

  • New quote is missing: your role cannot create quotes. Ask your admin.
  • Customer account is already filled in and cannot be changed: you started the quote from the customer's own account page, so it belongs to that customer.
  • Save refuses with a message about lines: a quote needs at least one line before it can be saved.
  • The customer has approved and you want to bill them: see Convert a quote to an invoice.

Start a new quote

When you reopen a saved document to edit it, Account and Settings start collapsed so the document stays in view. Press either heading to inspect or change those details.
