Send a quote

Send a saved quote to the customer by email or text so they can read it, and approve or decline it from a secure link.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Sales & Billing, then Quotes. The page address is /quotes.

Before you start

  • The quote needs a customer and at least one line. See Create a quote.
  • Your role needs permission to send quotes. Without it, the send controls stay hidden.

Steps

  1. Open the quote from the Quotes list.
  2. Open the arrow next to Save and choose Save and send. On a phone, press Send. Nova saves your latest changes and opens the send screen. Nothing has been sent yet.
  3. In Quote delivery workflow, keep Send quote copy to send the quote for the customer to read, choose Send for approval so the customer can approve or decline it from a secure link, or choose Create signature agreement when the customer should sign for it.
  4. Next to Send by, choose Email or Text. Link gives you a link you can pass on yourself. The From line beside it on a computer, or below it on a phone, names the sender: a phone line's name and number for a text, or the email sender's name and address. When more than one sender is available, press Change, pick one in Send this text from or Send this email from and press Use this sender. That changes the sender for this message only.
  5. In To, type a name, an email address, a phone number in any format, or the customer's name. This customer's people are listed first, then everyone else. You can also type or paste any address or number. Then check the Subject and the Message. Nova adds the secure link when it sends, so you do not have to paste one in.
  6. Open More options to include a PDF. Secure link only is selected by default for email and text. Choose Secure link and PDF to attach the quote; text attachments use MMS, with the secure link available if the customer's carrier cannot display the PDF. If your organization omits links from attached emails, that choice is labelled Email with PDF.
  7. Press the send button beside the title on a computer or in the fixed bottom bar on a phone. It reads Send quote, Request approval when you chose Send for approval, or Create signature agreement for a signature.

Note: Approval requests and signature agreements always go by email, so Text and Link are greyed out when you choose Send for approval or Create signature agreement.

The email message uses the shared formatting editor for bold, italic, underline, lists and links. On a phone, press Formatting to show the tools. The preview shows the formatted message and Nova includes its plain-text counterpart in the delivery.

The To field fills with the contacts chosen to receive this customer’s quotes. Email uses their email addresses; text uses their phone numbers. You can add several recipients, remove one, or search for another. Hover over a recipient, focus it with the keyboard, or tap it on a phone to open its contact and account details. Changing channels keeps each recipient list separately. Texts go individually, with a separate secure link for each person.

Point at the sender beside From, focus it with the keyboard, or tap it on a phone to open its card. It shows the number or address, the line's branch, and where replies arrive: "Customers can text this number back; replies show in Texts." for a text, or the inbox an email reply lands in. For your usual sender, the card also says where it is decided: "From all customer messages" when quotes follow your All customer messages sender, or "Set for Quotes" when quotes have their own. Change for all customer messages opens that setting in Customer Messages, and the link below it sets a different sender for quotes only. When quotes already have their own sender, one link opens the quotes setting instead. For a sender you picked for this one message, Texting settings or Email settings opens where senders are managed.

What you see

  • On a computer, the send button is beside the title. On a phone, it stays in a bottom bar above the safe area; Show customer email / document preview opens the preview and Hide returns to a compact form.

  • Recent activity starts closed. Open it to check previous sends and changes.

  • The sender's card under From shows where the customer’s reply will arrive. The default sender, marked Default in the Change list, follows your organization’s sender settings. Manage phone lines or Manage senders at the bottom of that list opens them.

  • The status chip changes to Sent.

  • The customer gets an email or text with a secure link that opens the quote. With an approval request, the link opens a page where they can approve or decline.

  • When the customer approves, the chip reads Approved. If they decline, it reads Declined. Once the expiry date passes without an answer, it reads Expired.

  • Customer notifications lists scheduled messages and history for this quote. It starts collapsed and stays hidden while empty; new messages appear after a send or record change.

  • Under More options you can ask Nova to send you a copy, notify you when the customer views the quote, or Schedule send for a later time. For text delivery, Schedule send and Notify me when viewed sit together on a computer and stack on a phone.

If something looks different

  • The send button is greyed out: the quote is missing a customer or a line, or it has unsaved changes. Save it first.
  • The menu offers Save and resend, or Save and send the update: the customer already has a copy. Sending again goes to the same people and replaces the old copy.
  • The customer approved by phone or in person instead of through the link: do not send again. Record the approval with Mark approved; see Record a customer's yes or no on a quote.
  • You chose Create signature agreement: see Have a customer sign for a quote for what the customer signs and what happens next.
