Set up email branding

Put your logo, colors, sender name, support contact and footer on every email Nova sends for you, set the look of invoice and quote PDFs, and check the result in the live preview.

In the sidebar, open Settings, then choose Email Branding under Templates. The page address is /settings/org/email-branding.

Emails sent by your business, including quotes, booking confirmations and customer portal codes, use your logo, colors, sender details and footer. Nova’s own account and product emails keep Nova’s branding. The wording of each email lives in its own message template; this page sets the frame around it.

Before you start

  • Your role needs permission to read email branding to see the page and permission to write it to save.
  • Have your logo as an image file on your computer or phone. The logo here is your organization logo, so changing it on this page changes it everywhere Nova shows it.
  • The links in the footer come from General, under Where you are online. Tick your website and social pages there first. See Add the places customers find you online.

Steps

  1. Under Brand Identity, type your Brand name and the From name customers see in their inbox. Emails sent from a connected Microsoft inbox always show that mailbox's own name instead; rename the mailbox in Microsoft 365 to change it. Emails from Nova's email sender carry this name. Select the Logo image to upload, crop, replace or choose an icon. Mark is an optional small icon used when there is no logo; set it the same way.
  2. Under Banner & Layout, pick your Primary color, Secondary color and Accent color: select the color square to choose one, or type the color code. Use default goes back to the color Nova picked for you. Pick a Header accent style: Gradient, Solid or Image with a Banner image URL. Leave Default layout variant on Default unless told otherwise.
  3. Under Sender & Support, enter the Reply-to email replies should go to, plus the Support email, Support phone and Support URL. The contact link uses the support URL first, then the support email, then the phone number. Use a contact page that works without signing in. Pick the country flag first if the phone number is outside your country.
  4. Under Footer & Legal, type the Footer legal name, an optional Footer disclaimer, your Footer address lines, and your Privacy URL and Terms URL.
  5. Under Invoice & Quote documents, type your GST/HST or business number so it prints on invoices, pick a Document accent color (it follows your primary color until you pick one) and a Document theme (Standard (default), Modern or Compact), and add Remit-to / payment lines for cheque or mail payments.
  6. Valid changes save automatically after you pause typing. The status chip confirms when they are saved. Incomplete email addresses, phone numbers, web addresses or colors stay in the form until corrected.
  7. Scroll to Your branded email. Switch between Default, Security and Document to see a sample of each kind of email. The preview updates as you edit.

What you see

  • The message and shaded footer join into one panel with no gap between them. Nova’s own emails use the same layout.

  • Your company name and full address share one line inside the footer. The line wraps naturally on phones. If you leave the address blank, Nova uses your saved mailing, headquarters or billing address, then a saved company address without a label.

  • A small “Powered by NovaBMP” link sits below your company details.

  • Your address, contact details and privacy link do not need the advanced branding plan. Custom footer notes still do.

  • Contact, Privacy and Terms use spaced dots between the links. Privacy and Terms use Nova’s service policies until you set your own URLs. Security emails leave out social links.

  • Staff updates include “Manage notifications”. When the update has a known topic, the link opens that topic’s settings. Required security emails and customer correspondence do not link to staff notification settings.

  • The status chip shows whether changes are waiting, saving, saved, or need attention. No separate save button is needed.

  • Footer links lists the places you ticked under Where you are online; it is a summary, not a place to edit them.

  • Transfer holds Copy JSON and Apply JSON, for copying these settings to another organization. You will rarely need it.

  • Email addresses, the phone number and web addresses show a green check once they are complete and valid.

  • The preview is rendered like a real send: what you see is what a customer gets. While it is being drawn, the Nova loading mark spins in its place.

If something looks different

  • Changes do not save: your role may allow previewing without permission to change branding. Ask your admin.
  • The logo does not appear in the preview: nothing is uploaded under Logo or Mark yet. Select the image and upload one.
  • The status asks you to check your fields: a contact address, phone number, web address or color is incomplete. Fix it or clear the box.
  • Saving fails: your edits remain in the form. Use Retry saving after the connection recovers. Leaving offers to save first or discard your changes.
  • A web address has no green check: it must start with http:// or https:// and include a full domain, such as https://example.com/privacy.
  • Banner image URL is greyed out: advanced email branding is not part of your plan.
  • The contact link is missing: add a support URL, support email or support phone.
  • The address is missing: add your business mailing address here or save an address in your company details. Nova never substitutes its own address.
  • You want to change the words of a specific email, not its frame: see Create or change a message template.
