AI teammates
AI teammates that work in Nova under their own name, and the approvals they wait on.
- Add a lead source or pick-list value
Add, rename, reorder, set as default or disable the choices in Nova's pick lists, such as where a lead came from, and decide who may pick or manage a governed option.
- Add and publish a legal page
Write your privacy policy, terms of service, booking policy or any custom page, choose where its link appears, and publish a version customers can read.
- Add or change a lifecycle status
Add your own lifecycle stages for leads and customers, rename or reorder them, pick the default starting status, and archive the ones you no longer use.
- Add or change a workflow status
Add your own statuses for projects, tasks, work orders, bookings, tickets and more, set the colour and order, choose the default for new records, and archive old ones.
- Change the tabs on one customer or record
Hide, reorder or pick the opening tab for one customer, work order, project, task, service asset or portfolio, and for everything under one customer, without changing anyone else's.
- Choose a profile for each service asset type
Pick which profile (the set of details Nova asks for) each equipment type uses, so a furnace asks furnace questions and a vehicle asks vehicle questions.
- Choose where work order fields appear
Pick which optional sections and custom fields show when a work order is created from the Schedule, on its full edit page and on its own page, and which hide when empty.
- Choose which form opens when someone adds an account
Pick whether Add Account, and the option to create an account from an account picker, opens the short quick add or the full account form for everyone in your organization.
- Create a custom field
Add your own field to accounts, work orders, tickets or other records, choose its type and default, and decide whether it is required, searchable, exportable or shown in reports.
- Create a tag
Make a new tag with a name, colour and category, choose which kinds of records it can be applied to, and set who may see, assign or remove it.
- Create a time policy
Set up the pay period, timesheet, approval, rounding, lock and overtime rules your team's time entries follow, and make one policy the organization default.
- Decide which addresses a new customer needs
Choose which address uses (service, billing, mailing, shipping) Nova recommends or requires when someone creates a customer, and which are preselected for households and companies.
- Edit, archive or restore a custom field
Rename a custom field, change its default or behaviour, take it out of use by archiving it, or bring an archived field back, after checking what the change affects.
- Edit, subscribe to or delete a tag
Change an existing tag, subscribe to it to be notified when records carrying it change, or delete it so it is removed from every record.
- Find a setting
Open Settings to see every setting you can change as a card with a short description, search for one by name, or jump to an area such as Sales & Billing.
- Limit who can see, assign or remove a tag
Open one tag and use its View, Assign, Remove and Subscribe policies to allow or block particular roles and team members, for example so only managers can take a tag off.
- Put an intake form online
Create a publication for a published intake form so customers can reach it on a Nova-hosted page or inside your website, brand it, and copy the link or embed code.
- Put your booking page on your website
Copy the hosted link to your booking page for ads, emails and QR codes, or copy the embed code that shows the booking page inside your own website, and allow your site's address to use it.
- Rename, reorder or change the starting workflow status
Rename a status Nova provides, change the order statuses appear in, and choose which status new projects, tasks or work orders start in and which one Nova uses for each category.
- Report on a custom field
Count how many accounts, work orders or other records hold each value of a custom field, see how many leave it blank, and total or average a number field.
- Require a reason for sensitive actions
Choose how much explanation team members must give before cancelling, refunding, deleting or other sensitive actions, either with a preset or action by action.
- Set agreement branding, sender and reminders
Put your company name, colours and email sign-off on the agreements customers receive, choose the sender and reply-to address, and set how often Nova reminds people who have not signed.
- Set agreement retention and signing services
Decide how long Nova keeps signed, cancelled and draft agreements, protect agreements on legal hold, and choose whether an outside signing service handles your agreements.
- Set contact method rules
Decide whether an email address or phone number your staff type in counts as verified, and whether texts can only go to verified numbers.
- Set how customers verify themselves and sign agreements
Choose how a customer proves who they are before signing, whether signing links can be reused, and the rules for uploaded PDF agreements such as date filling and downloads.
- Set service asset defaults
Decide whether every asset needs a subtype, whether technicians can add new types and statuses on the spot, and what happens when a captured asset does not match your list.
- Set shared branding and tracking for public pages
Set the brand name, logo and colors your public booking and intake pages share, add your Google Analytics, Tag Manager or Meta Pixel ids, and save them as organization-wide defaults.
- Set the default tabs for record dashboards
Choose which tabs every account, work order, project or task dashboard shows by default, in what order, and which tab opens first, for your whole organization.
- Set up a public booking page
Create a booking surface, name it, choose which services customers can book on it, write the headline they see, then publish it so customers can book online.
- Set up location types
Add your own location types for customer addresses, choose which one is the default, reorder them, and archive the ones you no longer use.
- Set up service asset statuses and lifecycle states
Create the statuses and lifecycle states your team picks for equipment (in service, needs repair, decommissioned), give each a colour, and mark which ones block service work.
- Set up service asset types and subtypes
Build the list of equipment types and subtypes your team tracks at customer sites (furnace, heat pump, water heater) and the identifier types such as serial or warranty number.
- Show your policies in the customer portal
Clear the "Your customer portal has no policy links" warning by giving at least one published legal page the Portal footer placement so customers can read your terms, not Nova's.
- Turn folders on or off for one customer or record
Choose whether one customer's or work order's Notes, Files and Access tabs use folders, for that record alone or for everything under a customer, and stop showing folders on one tab.
- Add a bookable unit
Add a piece of equipment, a room or a vehicle that customers or staff book by the hour or day, and take it out of service when it is not available.
- Add a calendar overlay
Show an outside calendar, such as a supplier's holidays or a shared team calendar, on top of Nova's schedule as a read-only overlay by pasting its ICS link.
- Add a capacity pool
Set a shared limit on how many bookings can run at once, such as seats in a class or bays in a shop, so offerings draw from it instead of from one named person.
- Add a catalog category
Create the categories that group your services and your products and parts, nest them under a parent, and deactivate ones you no longer use.
- Add a holiday calendar
Subscribe your branch to a country or regional holiday calendar so statutory holidays block the schedule automatically, and skip the holidays you stay open for.
- Add a schedule resource
Make a team member or a piece of equipment bookable on the schedule, give it working hours and a holiday policy, and archive it when it leaves.
- Create a crew
Group technicians and equipment into a crew that is booked as one unit, set the crew's hours, and change its members as the team changes.
- Create an offering
Add a service customers can book, set how long it takes and how much notice it needs, and say which technicians, crews or equipment it requires.
- Set an offering's price and tax
Give a bookable service its default price, pricing model, cost and tax so quotes and invoices fill in the right numbers when you add it.
- Set schedule colors
Choose the colour palette for the calendar, give each type of calendar item its own colour, and pin a colour to a particular technician, crew or truck.
- Set time off policies
Decide how time off requests are approved, create leave policies such as vacation or sick time, and correct a person's leave balance by hand.
- Set up schedule policies
Set the timezone, calendar grid, work hours, arrival window and planning rules for the selected branch, and the view the Schedule opens in.
- Set up workforce tracking
Decide whether technicians are tracked, when tracking is allowed, whether they must acknowledge it, and who can see live locations, then check that tracking sources are healthy.
- Approve a template change
Review a project or task template version someone submitted, approve it, send it back with a comment, or reject it, then publish the approved version so the team can use it.
- Create a billing document template
Build a reusable invoice or quote layout with sections such as Parts and Labour, starter rows, notes, payment instructions and terms, then activate it so new documents start from it.
- Create a checklist template
Build a reusable checklist of steps for a work order, asset or other record, add each item with its answer type and whether it is required, then publish the version technicians will use.
- Create a portfolio template
Bundle several published project templates into one portfolio template, publish it, then apply it to a customer to create a portfolio and all its projects in one go.
- Create a project template
Save a reusable project plan with phases and the tasks inside each phase, so a new project starts with its work already laid out instead of a blank page.
- Create a reusable PDF template
Turn a PDF you already use, such as a waiver, into a reusable signing template by uploading it once, naming the signer roles, placing signature and date fields, and publishing it.
- Create a task template
Save a reusable task with its subtasks, default status, assignee rule and date offsets, publish it, and create new tasks from it in one press.
- Create a workspace template
Build the folder layout that a record's Notes, Files or Access tab starts with, save it as a draft, activate it, and apply it to a customer, work order or project.
- Create or change a message template
Write your own version of an email, text or push notification Nova sends, or add a new reusable message, save it as a draft, preview it, then activate it so it goes out in your words.
- Find all your templates in one place
Use the Template Center to see every kind of reusable template Nova offers, grouped by area, and jump to the one you want to create or change.
- Follow a template being applied in the background
Watch the progress of a project or task template being applied in the background, open the project or task it created, and cancel or retry a run that is stuck or failed.
- Set up email branding
Put your logo, colors, sender name, support contact and footer on every email Nova sends for you, set the look of invoice and quote PDFs, and check the result in the live preview.
- Add a custom ringtone or alert sound
Upload a ringtone or chime, build a profile for calls, texts, emails and voicemail, and choose sounds for your browser and Android app.
- Add routing rules to a support inbox
Write rules that decide what happens to new email on a support inbox, such as skipping a ticket for auto-replies or raising the priority for one sender, then switch rules off and on.
- Add the places customers can review you
Add your Google, Facebook or other review links so review requests have somewhere to send customers, pick the primary one, and choose whether requests rotate between links.
- Bring older email into a support inbox
Choose how a support inbox treats email from before it went live, preview what would come in, import it in a batch, and turn the messages that still need an answer into tickets.
- Buy a phone number
Search for an available number by country, area code, city or digits, choose whether it texts and calls, name it, give it to a branch and the people who will use it, and buy it.
- Change the wording of a customer message
Rewrite the text or email a customer gets for an appointment notice, reminder or thank-you, drop in fields like the customer's name, preview it and send yourself a test.
- Check cellular dial-through readiness and staff access
See whether technicians can place recorded business calls from their own cell phones through a Nova line, unlock a teammate whose access code is locked, disable one, and review recent attempts.
- Check support inbox health and retry failed work
See whether each support mailbox is still bringing in email, make Nova read a mailbox again, retry or close out failed background work, and read customer ratings and portal article results.
- Check team message history
Preview upcoming team messages and check each teammate's delivery results without changing their notification inbox.
- Check who was notified about a conversation
Find out which teammates were told about a text, email, call or voicemail, why each one was included or left out, and whether the push, email or text notification actually got through.
- Check why NovaAI is on or off
Open the NovaAI diagnostics page to see where each NovaAI setting comes from, what your plan limits, which saved versions are in force, and the final values Nova uses.
- Choose how customers are asked for reviews
Set how many days pass before the same customer is asked for a review again, whether a teammate's request goes by text or email, and see who was asked and where the review went.
- Choose how phone numbers and email addresses open
Choose whether phone numbers and email addresses open Nova's calling and email tools or your device's apps, with separate defaults for computers and phones.
- Choose schedule messages for your team
Choose one daily schedule summary, optional reminders and schedule-change messages, with explicit team recipients.
- Choose the number and inbox customer messages come from
Choose shared sending defaults, then give a category, branch or single message its own sender.
- Choose the team names and photos customers see
Choose the staff details each customer message category shows, within shared privacy limits.
- Choose who gets told about bank deposits
Pick the team members who get an email or text when a Nova Payments deposit is on its way to the bank, when it arrives, and if the bank rejects it, and attach the deposit report to the email.
- Choose who team emails come from
Team emails come from Nova's email sender with your business name. Pick one of your inboxes instead for all team emails or for task reminders.
- Escalate conversations nobody has answered
Choose who is notified when a customer conversation goes unanswered, how long Nova waits between steps, and whether to use push, email, text or a voice call.
- Get your texting number
Choose and confirm the texting number included in your plan, manage replacements and check carrier verification.
- Give a customer or phone line its own ringtone
Make a VIP customer, a particular phone line or one teammate ring or chime differently by assigning a sound profile to them, and understand which rule wins when several apply.
- Give one phone line its own NovaAI settings
Make NovaAI behave differently on one phone line, such as keeping it off on a line for sensitive calls or piloting it on one line first, without changing the rest of your organization.
- See what customers are being sent
Check every email, text and call going to customers, see what is due to go out next, read any message, and stop one reminder before it sends.
- See what your customers receive and when
One list of every email and text a customer can get from Nova, when each one goes out, and the setting or article that controls it.
- Set quiet hours and timing for customer messages
Stop customer texts going out late at night, change how many days before or after a due date a reminder goes, and decide how long Nova waits after a schedule change.
- Set ticket response and resolution targets
Create SLA policies that say how fast your team should first answer a ticket and how fast it should be resolved, and see which policy a ticket follows.
- Set up On my way messages
Choose the text customers get when a technician is on the way, which line it sends from, and whether dispatchers can change the wording.
- Set up skills and workload limits for ticket assignment
Create the skills your support team has, set each person's availability, ticket limits and skills, and watch which queues are short of people before tickets pile up.
- Set up the request types customers can choose
Create the kinds of request customers pick in the portal, send each to the right queue with its own response targets, and publish the questions customers answer when they ask.
- Set up ticket queues
Create the queues support tickets wait in, link each to a support inbox, choose who can see it, and decide whether Nova assigns new tickets on its own and what happens when nobody fits.
- Set up who answers a phone line and where calls go
Name a phone line, give it to a branch, choose the teammates who can answer and text from it, record a voicemail greeting, forward calls after hours, and cancel or reactivate a line.
- Set who is told about unassigned conversations
Choose who is notified about unassigned texts, emails, calls and voicemails, whether a team hears about them too, and how long a callback can wait before it is overdue.
- Transfer your existing phone number to Nova
Bring the business number your customers already know into Nova by submitting a transfer request with your current carrier details, then uploading the signed letter of authorization and a recent bill.
- Turn AI on or off for your organization
Accept the AI terms and switch AI features on for the whole organization, or switch them off with a reason and a choice about what happens to summaries and drafts AI already produced.
- Turn on automatic customer messages
Choose customer messages by type, adjust timing and channels, and review delivery without duplicate booking reminders.
- Turn on NovaAI for calls
Switch on call transcription, live guidance during calls and after-call summaries for your organization, roll it out gradually with shadow or pilot mode, and stop any part of it in an emergency.
- Turn on ticket creation for a support inbox
See which connected mailboxes are support inboxes, which are already creating tickets, and take one from watch-only to live so new email opens tickets in the right queue.
- Add an accounting handoff destination
Record where your bookkeeper's software lives, such as QuickBooks Online or Xero, and how the numbers reach it, so your team knows where invoices and payments are handed off.
- Check and repair your connected social accounts
Connect Facebook Pages and Instagram through one Meta login, see which social accounts need attention, reconnect or refresh one that stopped working, and set social inbox read-receipt defaults.
- Connect ChatGPT, Claude or another assistant to Nova
Let an outside assistant work in Nova as you: start the connection from the assistant, tick what it may do on Nova's Connect an app page, choose the organization, and press Allow.
- Create an API key for your own software
Make a key that your own software or an integration uses to read and write Nova on your organization's behalf, choose what it can do and when it expires, then revoke it when it is no longer needed.
- Disconnect an app from Nova
Remove an assistant's access from your own profile, or, as an admin, disconnect any app a member has connected to the organization.
- Send Nova events to another system with a webhook
Add a webhook so Nova tells another system when bookings and other records change, check it, and see, retry or replay what Nova sent from Delivery history.
- Share a schedule with an outside calendar app
Create a read-only calendar link for a technician, a crew or a piece of equipment that Google Calendar, Outlook or an iPhone can subscribe to, copy it once, and revoke it when it should stop working.
- Add an AI teammate
Add an AI that works in Nova under its own name: roles, hours, a daily limit, whether it can be assigned work or talk to customers, then hand over its sign-in details.
- Approve or decline an agent's request
When an AI teammate, a key or a connected app tries something that needs a person, it waits under Approvals; read what it wants to do, then approve or decline it with a note.
- Pause or retire an AI teammate
Stop an AI teammate for a while with Pause, bring it back with Resume, or retire it for good so it is signed out everywhere and its secret stops working.
