Approve, ask for changes, or decline a quote
Answer a quote from the portal by approving it with an optional PO number and note, asking the company for changes, or declining it, and see what happens next.
In the portal's sidebar, open Quotes, then select View on the quote when you have more than one. The page address ends in /quotes. The button in the company's email opens the quote directly; see Open a quote the company sent you.
Before you start
- A quote you can answer shows Approve quote, Request changes and Decline beside its total. Read the lines, the total and the Payment schedule first: approving accepts those payment terms.
- If the quote reads View or download this quote instead of showing buttons, the company has not allowed answers from the portal. Contact them with your decision.
Steps
To approve:
- Select Approve quote beside the total.
- In the dialog, type your Purchase order number (optional) if your business uses PO numbers. You can approve without one.
- Type anything the company should know in Add a note (optional).
- Select Approve quote. Select Not yet to go back.
To ask for changes:
- Select Request changes.
- Under What would you like changed?, describe what you want different, for example a later start date or a line you do not need.
- Select Send request.
To decline:
- Select Decline.
- Add a Reason (optional) so the company knows why.
- Select Decline quote. Select Keep reviewing to go back.
To use a discount code, open Have a discount code? under the totals, type the code and select Apply. The totals update. It only appears when the company accepts codes on this quote.
What you see
- After approving, the status reads Approved and the quote says your approval is saved. The company turns the quote into an invoice when the work is ready; nothing is charged yet.
- If the quote needs a deposit, it reads Approved — deposit payment required, and a Required deposit due card has a Pay required deposit button that opens the deposit request. See Pay an invoice online. When online payment is off, it reads Approved — deposit instructions ready with Review deposit instructions instead.
- If the quote is approved by signing an agreement, it reads Agreement signature required with Review & sign agreement. See Sign an agreement.
- After asking for changes, the status reads Changes requested. The company can update the quote in place and ask you to approve again.
- After declining, the status reads Declined. You can still read the quote, and you can ask the company for a revised one any time.
- Your note appears under Your note, and a PO number under Purchase order.
If something looks different
- The dialog refuses your PO number: the company requires a certain format. The message under the field says what it expects.
- The message says the quote has changed: the company updated it while you were reading. The page loads the new version by itself; read it before answering.
- Current job purchase order appears after approval: the company lets you add or change the PO number on the work itself. Type it and select Save current PO.
