Accounts
Leads, customers, contacts, locations and service assets.
- Add a contact to an account
Add a person to a lead or customer from the account, with their phone and email, role, and whether they are the main person to call.
- Add an account location
Add a service or billing address to a lead or customer, find it with the address search, check the map pin, mark it primary, and save it.
- Archive or restore an account
Take a lead or customer out of active use from the account list, see your archived accounts, and bring one back with Restore.
- Create a sub-account under a customer
Add an account that belongs to a larger customer, such as one store of a chain or one building of a property manager, so both are linked.
- Create an account
Add a new lead or customer from All Accounts with the Quick add page, choose whether it starts as a lead or an active customer, then fill in the rest later.
- Edit an account
Change a customer's name, type, account number, parent account, billing basics, contacts and locations from the full account editor.
- Edit or archive an account location
Find an address on the Account Locations page, open its details, change the address or type, link contacts, and archive or restore it.
- Find and export service assets
Search the Service Assets list by name, serial number, customer or model, narrow it by location and status, open a unit's page, and download the list as a file.
- Find leads and customers
Search and filter the All Leads and All Customers lists, switch between the list and the map, and open, edit or start work from any account row.
- Give a customer access to the portal
Let a customer's contact sign in to your customer portal, choose what they can see, send them a sign-in link, and turn their access off again.
- Handle a customer's billing from their account
Use a customer's Billing tab to see what they owe, make a quote or invoice, collect a payment, issue a credit or deposit, send a statement and refund a payment without leaving the account.
- Merge two accounts for the same customer
When one customer ended up with two accounts, merge them so every work order, invoice, contact and note sits on the one you keep, and the other redirects to it.
- Review account automation
Use the Account Automation hub to see which automated follow-ups are running for your customers, pause or stop one for a single account, and review anything waiting for approval.
- See and edit a contact
Open a contact to change their phone numbers and emails, see which accounts and locations they belong to, check their portal sign-in, merge a duplicate, or archive them.
- See and revoke links shared with a customer
See every portal link your team has shared with one customer (files, folders, work order photos, invoices, quotes, statements, agreements), copy one again, or revoke it.
- Track a service asset
Record a customer's furnace, air conditioner, vehicle or other equipment as a service asset, with its location, model and serial numbers, so every visit has its history.
- Work on a customer's account page
What each part of a customer's account page shows, from the details panel and primary contact to every tab, and what each action in the Actions menu does.
- Work on a service asset
What a service asset's page shows, including its work order and booking history, how to edit it, link related equipment, export it, and archive it.
