Nova Help

See and edit a contact

Open a contact to change their phone numbers and emails, see which accounts and locations they belong to, check their portal sign-in, merge a duplicate, or archive them.

Updated in release 0.0.1 Needs permission from your admin

In the sidebar, open Accounts, then Contacts, and press a contact's row. The contact opens in a panel on the right, and the page address becomes /contacts/ followed by the contact, so you can share the link. From a customer's account, you can also open a contact from its Contacts section.

What is in the panel

  • The contact's name and title at the top, then Phone and email: every number and address, which one is primary, and which phones can receive texts. An email address that used "Stop these emails" in one of your automatic emails shows Stopped automatic emails. If the customer asks to get them again, choose Send automatic emails again, then Yes, send them again.
  • Linked accounts: each customer this person belongs to and their Role there. Change the role and press Save link; Open account goes to that customer.
  • Linked locations: the service addresses they are tied to.
  • More details and your organization's own fields.
  • Contact Resources: notes and files kept on this person. If they belong to more than one customer, pick the Account for file sharing first.
  • Customer portal: any links shared with them, and their Portal login if they have one. Link portal login attaches a sign-in that already exists to this contact.
  • Caller identity and recent AI calls, when your plan has call summaries.

Steps to change a contact

  1. Change any field in the panel.
  2. Press Save.

Other actions at the top

  • Merge combines this contact with a duplicate. It works like merging accounts (Merge two accounts for the same customer): pick which contact stays, choose values, confirm.
  • Archive takes the contact out of use. Save or discard your changes first; the button explains this if you have unsaved changes. An archived contact shows Restore instead.
  • Alert sounds picks the sounds Nova plays for calls, texts, emails and voicemails from this person, when your organization uses them.

If something looks different

  • You only see the buttons your role allows. Without permission to change contacts there is no Save.
  • Possible duplicate contact appears when you save details that match another contact. Review the match, or press Keep editing.
