See and revoke links shared with a customer
See every portal link your team has shared with one customer (files, folders, work order photos, invoices, quotes, statements, agreements), copy one again, or revoke it.
In the sidebar, open Accounts, then All Accounts, and open the customer. Open the Portal Access tab. Below the portal users, the Portal access list shows every link your team has shared with this customer, and Recent activity shows when those links were used.
A link is made whenever someone shares a file, a folder, work order photos, an invoice, a quote, a statement or an agreement with the customer. This list is where you see them all in one place.
Steps
- Narrow the list if it is long. The Type filter picks what was shared (for example Work order photos or Invoices) and the Status filter shows Current links, or Active, Expired, Revoked or View limit reached ones.
- Find the link. Each row shows the Share, its Scope, who it was Issued to, its Status and when it was Created.
- To send the same link again, open the row's menu and press Copy link. Nova says Share link copied.
- To stop a link working, open the row's menu and press Revoke, then Revoke again in Revoke portal link?. Nova says Portal link revoked.
What you see
- A revoked link stops working straight away. The customer can no longer open it.
- Recent activity lists each time a link was opened, with the work order it belongs to and when.
- Press Load more at the bottom for older links.
If something looks different
- Copy link is missing: only an active link can be copied. An expired or revoked link cannot come back; share the item again to make a new one.
- "This share link is no longer available.": the link ended between loading the list and pressing Copy link.
- A link stops on its own after the time your organization set (Set how long customer links stay open) or after it has been opened the allowed number of times.
