Add an account location

Add a service or billing address to a lead or customer, find it with the address search, check the map pin, mark it primary, and save it.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Accounts, then Account Locations. The page address is /account-locations, and the new-location form opens at /account-locations/new. An account location is an address that belongs to an account: where you do the work, or where the bills go. One account can have several.

Before you start

  • The account has to exist first. If it does not, you can create it from inside the form as long as your role can create accounts.
  • Already on the customer's account? Open the Actions menu (⋯) and select Add account location, or press Add location beside the Account Locations count in the side panel. The same form opens in a drawer on the account with the customer filled in, so you skip step 2.
  • Picking a default address on the account's Billing Settings tab and the one you need is not there? Under Contacts and locations, open Bill-to location, Ship-to location or Service location and pick Add a new location at the bottom of the list. The same drawer opens for that customer.
  • Your admin has to give your role the Create locations permission. Without it, New location does not appear.
  • Location types (for example a service or a billing address) are set up by your admin. If the Location type list is empty, ask them.

Steps

  1. Press New location at the top of the Account Locations list. The New account location form opens as a page.
  2. Under Account, type the customer's name in Search accounts and pick them.
  3. Choose the Location type.
  4. Under Address, start typing the address in the search box and pick it from the suggestions. Nova fills in the street, city, province or state, postal code and country, and drops the map pin on it. To type the address yourself, switch to Manual; Address line 1, City, Postal/ZIP code and Country are required.
  5. Check the map. If the pin is not on the right spot (a long driveway, a rural lot), press Move pin, drag it to the exact place and confirm. No search result? Press Set pin on map. Type coordinates instead takes a latitude and longitude, and Remove pin clears it.
  6. Turn on Primary for this type if this should be the main address of that type for the account, for example the main service address.
  7. Add a Label if the address needs a name people will recognise, such as "Cottage" or "Warehouse". Leave Timezone alone unless the site is in a different time zone from your organization.
  8. Type anything the crew should know in Notes, such as a gate code or where to park.
  9. Press Create location.

What you see

  • Nova shows Account location created and opens the new location's details, with the pin where you left it.
  • Back on the Account Locations list, the new row shows the address, its type, the account it belongs to and its status.
  • If you used the drawer on an account, the drawer closes and the account's Account Locations section opens with the new address in it.
  • If you started from a location list on Billing Settings, the drawer closes and the new address is already picked in that list and saved.

If something looks different

  • The form refuses with a message about the address: the street address, city, postal code and country are all required, and the empty ones are marked.
  • There is no search box, only the address fields, with a note that address search isn't available: type the address in. The map pin can still be placed, or typed as coordinates.
  • No map pin yet after saving a typed address: that is fine. Nova places the pin from the address when it can; you can also set it later from the location's details.
  • Select a location type stays showing and the form refuses: pick a type before saving.
  • New location is missing: your role cannot create locations.
  • You want to change or archive an address that already exists: see Edit or archive an account location.
