Choose what a quote or invoice shows and how it can be paid
Use the Manage panel on one quote or invoice to show or hide columns, allow card or bank payment, add how-to-pay instructions, change its tax profile or template style, and print or send it later.
In the sidebar, open Sales & Billing, then Quotes or Invoices, and open one from the list, or start a new one. The settings for that one document are in its Manage panel, whose page address ends in /manage.
These choices apply to this quote or invoice only. To change the starting point for every new one, see Set invoice terms and quote expiry defaults.
Steps
- Open the actions menu (the three dots at the top) and choose Manage. The panel opens with the document's number at the top.
- Press a section's name to open it:
- Customization holds the switches for what the customer's copy shows: Show shipping, Show line date, Show product or service, Show SKU and Show business number.
- Payment options holds the ways the customer may pay this document: Credit card, Bank transfer, Deposit, Discount, Shipping fee and Late fees. Under How to pay, type instructions such as your e-transfer address; they print as their own block on the PDF and in the email. On a quote, this section also holds the deposit schedule; see Ask for a deposit or milestone payments on a quote.
- Financial context holds the Tax profile new lines use, and the Currency.
- Design holds the Document preset, the Template style (Standard, Modern or Compact) and the Package presentation, which decides how grouped lines appear to the customer.
- Scheduling holds Print later, which leaves the document waiting in the print queue, and Send later, which holds it and sends it at the time you set.
- Close the panel and press Save. Changes made in Manage are part of the document and are not kept until you save.
What you see
- The first section, the status timeline, shows what has happened to the document so far. See See what happened to a quote or invoice.
- Customer-facing presentation, lower down, has the same five show and hide switches as Customization. Changing one changes the other.
- A document waiting under Print later shows up in the print queue. See Print invoices and statements in a batch.
If something looks different
- The switches are greyed out: the document is open for viewing only. It has been paid, voided, converted or withdrawn, or your role cannot edit it.
- Currency cannot be changed: new money activity always uses your organization's currency.
- Credit card is on but the customer cannot pay by card: Nova Payments is not set up yet. See Set up Nova Payments.
- The customer already has the document: press Save, then send the update so they see the change.
