Copy or archive a quote or invoice

Start a new draft from an existing quote or invoice, or file a finished one away from the everyday list without losing any of its history.

Updated in release 0.0.1 Needs permission from your admin

In the sidebar, open Sales & Billing, then Quotes or Invoices, and open the one you want to copy or file away from the list.

Before you start

  • Copying needs permission to create quotes or invoices. Archiving needs permission to edit them.
  • Save any changes first. Nova will not copy a quote or invoice with unsaved edits.
  • Only finished documents can be archived: a paid, voided or cancelled invoice, or a quote that was approved, declined, expired, withdrawn or turned into an invoice.

Steps

To copy it:

  1. Open the actions menu (the three dots at the top) and press See more.
  2. Choose the duplicate action. It names the kind of document, as in "Duplicate quote" or "Duplicate invoice".
  3. The panel explains that the copy is a separate draft with a new number, and that payments, approvals, sending history, work links and recurring schedules are left behind.
  4. Press Create draft copy. The new draft opens, ready to edit.
  5. Check the prices, dates, customer details and terms, then save and send it as usual.

To archive it:

  1. Open the actions menu and press See more.
  2. Choose the archive action, as in "Archive quote" or "Archive invoice".
  3. Read the panel, then press the archive button at the bottom.

What you see

  • The copy is a Draft for the same customer, with its own number.
  • An archived document leaves the default Quotes or Invoices list. Its money history and the customer's access to it stay exactly as they were.
  • To find it again, open Filters on the list and set Filed documents to Archived only or Include archived. To put it back in the everyday list, open it and choose the unarchive action from the same menu.

If something looks different

  • The duplicate action is greyed out: the document has unsaved changes. Save first.
  • The archive action is missing: the document is still open (a draft, unpaid or partly paid invoice, or a quote waiting for an answer), or your role cannot edit it.
  • You wanted a new version the customer can compare with the old one: see Change or withdraw a quote the customer already has.
