Retire or restore a tax profile

Take an old tax profile or a single rate out of use without deleting it, so past documents keep their tax, and bring it back if you need it again.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Settings, then choose Tax Profiles under Sales & Billing. The page address is /settings/org/billing/tax-profiles.

Before you start

  • Tax profiles and rates are never deleted. Deactivating one stops it being offered on new documents; documents that already used it keep their tax exactly as it was.
  • When a rate changes, add the new rate and deactivate the old one rather than editing the percentage. That keeps history honest.
  • Your role needs the permission to deactivate tax profiles, and to reactivate them to bring one back. The same applies to rates.

Steps

To retire a whole profile:

  1. Find the profile in the list and open its Actions menu.
  2. Choose Deactivate profile. A dialog asks you to confirm; a Business explanation is optional unless your organization requires one. Confirm, and Nova shows Tax profile deactivated. and the row now reads Inactive.

To retire a single rate inside a profile:

  1. Press the profile's row to open it, then scroll to Tax rates.
  2. Press Deactivate next to the rate and confirm in the dialog that opens. The rate stays in the list marked Inactive and stops being used in new calculations. Nova shows Tax rate deactivated.
  3. If the profile now has no active rate, add the replacement rate under Add tax rate. See Create a tax profile.

To bring a profile or rate back:

  1. Under Filters, set Status to Inactive to find a retired profile.
  2. Open its Actions menu and choose Reactivate profile, or open the profile and press Reactivate next to a retired rate. There is no confirmation; Nova shows Tax profile reactivated. or Tax rate reactivated.

What you see

  • An inactive profile opens read-only, with a note that it is kept for historical documents. Press Reactivate profile under the profile fields before changing it.
  • A profile with no active rate shows a warning that it needs at least one active rate before it can be used on documents.
  • Deactivating the default profile also clears it as the default. Open the replacement profile and set Default for new documents to Use as default so new documents get the right tax.

If something looks different

  • Deactivate profile is missing from the menu: your role cannot deactivate tax profiles. Ask your admin.
  • Reactivate is greyed out on a rate: your role cannot reactivate tax rates.
  • Old invoices still show the retired tax: that is expected. Deactivating never changes documents that already exist.
