Create a tax profile

Set up a tax package such as HST or GST plus PST once, add its rates, and make it the default so every new quote and invoice gets the right tax.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Settings, then choose Tax Profiles under Sales & Billing. The page address is /settings/org/billing/tax-profiles.

Before you start

  • One profile per tax package. Ontario HST is one profile with one rate; a province with GST and PST is one profile with two rates.
  • Your role needs the permission to create tax profiles, and to create tax rates to add the rates.

Steps

  1. Press New profile. A panel opens titled New tax profile.
  2. Type a Profile name your team will recognise, such as Ontario HST, and an optional short Code such as CA-ON-HST.
  3. Add Notes if the team needs to know when to use it.
  4. Set Default for new documents to Use as default if every new quote and invoice should start with this profile. Only one profile is the default; choosing this one clears the previous default.
  5. Leave Tax inclusive pricing on Tax added on top unless the prices you type already include tax, in which case choose Prices include tax.
  6. Press Create profile and continue to rates. Nova shows Tax profile created. Add at least one active tax rate. and keeps the panel open on Tax rates.
  7. Under Add tax rate, type the Rate label (for example HST), the Rate percent (13 for 13%), the Jurisdiction code (CA-ON) and leave Applies to as all unless only some kinds of line are taxable.
  8. Press the Add tax rate button. Nova shows Tax rate created. and the rate appears in the list.
  9. For a stacked tax such as GST plus PST, add a second rate the same way. Only set Compound to Stacked calculation and give it a Compound order if the second tax is charged on top of the first one.
  10. Close the panel. The profile is ready to pick on quotes and invoices.

What you see

  • The list shows each Profile, its Rates, its Mode (Inclusive or Exclusive), when it was Updated, and whether it is Active.
  • Press a row to reopen it. Each rate has Edit (which changes the button to Save tax rate), Deactivate and Reactivate; changes to the profile's own details save with Save tax profile.
  • Recoverable marks a tax you can claim back. Leave it on for HST and GST; set it to Non-recoverable for a tax you cannot recover.
  • Under Filters, Status shows Active or Inactive profiles and Default shows Default only or Non-default only.

If something looks different

  • New profile is missing: your role cannot create tax profiles. Ask your admin.
  • The Tax rates step says to save the profile first: press Create profile and continue to rates before adding rates.
  • The rate refuses to save with a message about the percent: Rate percent has to be between 0 and 100.
  • The profile is marked Inactive and cannot be edited: reactivate it first. See Retire or restore a tax profile.
  • You want different tax on one product or service rather than a whole document: see Set an offering's price and tax.
