Check on Nova Payments after launch

Read the Nova Payments page once card payments are live, deal with what needs you, turn ways to pay on or off, and open the secure pages for your bank account, business details, deposits and disputes.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Settings, then choose Nova Payments under Sales & Billing. The page address is /settings/org/billing/payments. Once payments are launched, and while they are paused or closed, the page shows tabs instead of the setup steps: Overview, Bank account, Business details, Receipts & tips and Payment options. The open tab is part of the address, for example /settings/org/billing/payments?tab=bank.

Before you start

  • A tab appears only when something on it is yours to use. Bank account needs permission to see or manage bank deposits. Business details needs permission to manage both Nova Payments and bank deposits, or to view Nova Payments documents. Receipts & tips and Payment options need permission to view payment settings. Diagnostics is shown to Nova support staff only.
  • Deposits, the balance, disputes and the money on Overview also depend on your plan.

Steps

  1. Read the bar at the top. It reads Live, Paused, Closed or Needs attention, with a sentence saying whether customers can pay by card and whether deposits reach your bank. Last checked says when Nova last heard from the card processor, and Test mode means no real money moves.
  2. On Overview, read the cards: Payments, Payout account (the bank on file and how often deposits go out) and Needs attention. Press See what needs you to jump to Open items.
    • Below them, Money on its way says how much you are owed and when it reaches your bank. On its way is money the card processor is still holding, with the day each part becomes available. Ready for deposit goes out with your next deposit. Next deposit shows the date and the bank's last four digits once a deposit has started; before that it reads "About" and a date Nova works out from your deposit schedule. Fees this month is what card processing cost since the first of the month, next to your card payments and what you kept. See deposits opens the Bank Deposits page.
    • While your first deposit has not arrived, a note explains that the card processor holds a new account's first payments for a few days (the days come from your account's deposit schedule), and that the wait normally gets shorter after the first deposit. The note goes away once the first deposit arrives.
  3. Work through Open items. Each item says what happened and how to fix it: Change bank account for a deposit the bank rejected, Send the missing info when the card processor needs information, Respond to the dispute for a chargeback, plus links such as Open the invoice and See payment activity. With nothing open it reads Everything is clear. Disputes in the Open items heading opens every dispute, for roles that can view disputes.
  4. Under Recent activity, the Payments, Refunds and Deposits rows open Nova's own lists, and Disputes opens the disputes on the Finance & Ops page. Card payments are on Nova's Payments page, and a refund is made from the payment there. See Refund a payment.
  5. Open Bank account. Where your money goes names the bank account and the deposit schedule. Press Change bank account to send deposits to another account, Deposit history for every deposit the card processor has sent, or Available balance for money waiting to be deposited. See deposits opens the Bank Deposits page; Who gets told about deposits opens the deposit notice list.
  6. Open Business details. Press Update business details under Your business to change the business, its owner or its representative. When the card processor needs something, the tab starts with Nova Payments needs more information and a Finish verification button. For yearly tax forms, see View Nova Payments tax documents.
  7. For receipts and tips, open Receipts & tips; see Send payment receipts automatically and allow tips.
  8. Open Payment options to choose how customers can pay. Under Ways customers can pay, each switch saves as soon as you change it, and Saved shows beside the heading once it has:
    • Card checkout: customers pay invoices and deposits online by card.
    • Let customers pay over time (Affirm, Klarna): customers split a payment into instalments when Stripe offers it. These payments cost more in fees than cards.
    • Saved cards: customers can keep a card on file when they pay.
    • Charge saved cards automatically: Nova charges a card the customer saved and agreed to, without them paying by hand. Subscriptions and scheduled payments use this.
    • Subscriptions: bill a customer the same amount every week, month or year, on their saved card. See Set up recurring billing.
    • Scheduled payments: create an invoice, or charge a saved card, on a date you pick. See Schedule a future payment.
  9. Below the switches, Payment availability shows whether Google Pay and Apple Pay are ready, then your processing rate and a link to Payment methods you accept.

What you see

  • Every card processor screen opens in one side panel, titled with what you pressed, under the line "A secure page from Nova Payments. Nova never sees your bank or ID details." The panel has its own address, such as /settings/org/billing/payments/secure-page/deposits, so the browser's Back button closes it and a reload opens it again.
  • When you finish the form in the panel, the panel closes and the page refreshes. Closing it yourself refreshes the page too.
  • Refresh status is in the Actions menu, the ⋯ button at the end of the top bar. Updating shows in the bar while it runs. Pausing and closing are in the same menu; see Pause, resume or close Nova Payments.
  • Point at the info icon beside the processing rate to see card, international and dispute fees.

If something looks different

  • The panel says "This is taking longer than usual.": the card processor is slow to answer. Wait, or press Try again.
  • The panel, or the card processor's notice at the top of Overview, says "This secure page timed out.": it was left open too long. Press Reopen.
  • It says "This secure page couldn't open." or "This secure page couldn't load.": press Try again. If it keeps failing, close the panel, press Refresh status and open it again.
  • The notice at the top of Overview says "Closed. This page shows the latest details.": you finished what the card processor asked for there, and the page has refreshed.
  • The panel says "You don't have access to this page.": your role cannot open that screen. Ask an owner or admin.
  • A button is greyed out and says the connection is archived: the connection is kept for history only, and its secure pages cannot open.
  • The bar reads Needs attention with "Customers can pay, but deposits to your bank are on hold.": follow the item under Open items, or press Change bank account on Bank account.
  • A tab you expected is missing: your role cannot use anything on it, or your plan does not include it.
  • Money on its way is missing: it needs permission to see bank deposits, and a plan that includes the money on Overview.
  • Money on its way says "Couldn't load the money on its way from Stripe.": the card processor did not answer. Press Try again. Nova keeps the figures for up to five minutes, and reads them again sooner after a card payment, refund or deposit changes them.
  • Next deposit reads "About" and a date: no deposit has started yet, so the date is Nova's estimate from your deposit schedule. It can move by a day or two around weekends and holidays.
  • A switch on Payment options is greyed out with Not included in your plan: your plan does not include that way to pay. Nobody can turn it on from here.
  • Every switch on Payment options is greyed out: your role can see payment settings but not change them. Ask an owner or admin.
  • A switch under Ways customers can pay says "Doesn't run until … is on too.": it needs another switch as well. Subscriptions, for example, need Saved cards and Charge saved cards automatically.
  • Card checkout or Saved cards cannot be turned off: at least one of the two has to stay on so customers have a way to pay by card. To stop card payments for a while, pause Nova Payments instead; see Pause, resume or close Nova Payments.
  • Subscriptions is greyed out and asks you to contact Nova support: subscriptions need a percentage-based Nova fee, and your business has a different fee.
  • Another page said something was turned off and you pressed Turn it on: this tab opens with that switch highlighted.
