Choose who gets told about bank deposits
Pick the team members who get an email or text when a Nova Payments deposit is on its way to the bank, when it arrives, and if the bank rejects it, and attach the deposit report to the email.
In the sidebar, open Settings, then choose Notification Settings under Communications. The page address is /settings/org/notifications. The rows under Bank deposits set which channels are allowed, and the list further down, Who gets told about bank deposits, names the people.
Nova sends three kinds of deposit notice: Bank deposit on the way when the card processor sends money to your bank (sent again if the expected day moves by a day or more), Bank deposit arrived when it should be in your bank, and Bank deposit failed if the bank rejects it or the deposit is cancelled. The messages themselves read like "Deposit of $1,250.00 arrived". The people on the list see each notice in Nova when its row allows it, and get email, text or both as ticked in their own row.
Before you start
- Changing the channel boxes needs permission to change notification settings. Changing the list needs that and permission to manage bank deposits. Without them the page is read-only.
- Only team members who can already open the Bank Deposits page can be added. Nova uses the email and mobile number verified on each person's profile; it never sends to a typed-in address.
- Nova may ask you to confirm it is you before it saves a change to the list.
Steps
- At the top of the page, choose Custom. The channel boxes further down can only be changed while Custom is chosen; the other choices use Nova's own defaults.
- Scroll to Bank deposits. For each of the three rows, tick the channels allowed: In app, Web, Mobile, Email and Text. Each box is the ceiling for everyone on the list: a channel switched off here reaches nobody, and a row with every box off sends nothing. With In app off, Nova does not pop up an alert for that notice; when another channel sends it, it is still listed with the person's other notifications. Bank deposit failed is the exception: it always reaches people in Nova and by email, whatever its row says.
- On the Bank deposit arrived row, tick Attach the deposit report (PDF) to deposit emails to send the itemized report with the email. It needs Email ticked on that row. The report goes with the arrived email, and with the on-the-way email when the report is already ready. Texts always carry a link to the deposit instead.
- Press Save at the top of the page.
- Scroll to Who gets told about bank deposits.
- Under Add a team member, open Choose a person, pick someone, then press Add.
- A person you add starts with Email ticked. In their row, tick or untick Email and Text. The change saves as soon as you tick it; there is no separate save for the list.
- To take someone off the list, press Remove in their row, then confirm in Stop telling this person about deposits?.
What you see
- A yellow note under a person's Email box means their email is not verified on their profile. Ask them to verify it, or the email will not be sent.
- A person's Text box is greyed out until they add a verified mobile number to their profile; the row says so.
- The person picker says everyone who can view deposits is already listed when there is nobody left to add.
- Bank deposit failed cannot be switched off. Besides the people on the list, everyone whose role can manage bank deposits (owners and admins, unless their roles were changed) gets it in Nova and by email, so a rejected deposit is never missed. People on the list always get it in Nova and by email too, even with Email unticked in their row.
- When deposits first become available, Nova puts the person who set up Nova Payments on the list with Email ticked. It does this only once; a list someone emptied stays empty.
- When deposits start going to a different bank account, everyone on the list and everyone who can manage payouts gets a message titled The bank account for Nova Payments deposits changed, by email and in Nova, whatever channels they chose here.
- If a deposit notice is due and nobody on the list can receive it, the people who manage Nova Payments get a notice in Nova titled Nobody receives deposit notices, at most once a week.
- The Bank Deposits page shows a banner while the list is empty. If your role can manage bank deposits, Choose who on that banner opens this page; otherwise it asks you to have an owner or admin choose. Notification settings at the top of the Bank Deposits page, Who gets told about deposits inside a deposit, and Who gets told about deposits on the Bank account tab of the Nova Payments page also open this page.
If something looks different
- Add a team member is missing: your role needs both permission to change notification settings and permission to manage bank deposits. If the whole Who gets told about bank deposits section is missing, your role cannot view bank deposits.
- The channel boxes are greyed out: Custom is not chosen at the top of the page, or your role cannot change notification settings.
- Nobody gets a deposit alert in Nova: check the In app box on that notice's row under Bank deposits (Custom must be chosen).
- Someone on the list is not getting emails: check their row here first, then the Email box on that notice's row under Bank deposits (Custom must be chosen), then that the email on their profile is verified.
- Nobody got the "arrived" notice for a deposit yet: Nova waits up to two hours for the itemized list from the card processor before sending it with the report. If the list never comes, the notice goes out without the PDF; download the report from the deposit on the Bank Deposits page.
