Projects & Tasks
My Work, tasks, projects, portfolios, time and mileage.
- Archive or restore a project
Find a project on the Projects page, archive it when it is finished or cancelled so it leaves active lists, and restore it if you need it back.
- Break a task into subtasks
Split a big task into smaller child tasks from its Subtasks tab, give each an owner and a due date, and nest them as deep as you need.
- Comment on a task
Post an update on a task's Comments tab, mention teammates so they are told, and edit or delete your own comments.
- Complete or archive a task
Find a task on the Tasks page, mark it done or reopen it from the row menu, and archive or restore it when it no longer belongs on the list.
- Create a portfolio
Group related projects under one portfolio from the Portfolios page, name and describe it, or build it from a template, and archive it when the program of work is done.
- Create a project
Start a project for a customer from the Projects page, give it a name, dates and a portfolio, or build it from a template that brings its phases and tasks with it.
- Create a task
Add a to-do for yourself or a teammate from the Tasks page, attach it to a customer, project or work order, set an owner and due date, or start it from a template.
- Log a mileage trip
Start a live trip when you pull out or log a finished one from your records on the Mileage page, stop it with the distance, and discard or void a trip that was a mistake.
- Log time on a work order, project or task
Choose hours and minutes you already worked, from the work order or customer itself, the Schedule or the Time Entries page. Start and end times are optional.
- Read a timesheet
What a timesheet's page shows, where its totals and approval history are, and how to get from it to the time entries behind it.
- Review work automation
Use the Work Automation hub to see which automated follow-ups are running on projects, tasks and portfolios, pause or stop one, and review what is waiting for approval.
- See your work for today
Open My Work to see today's work orders assigned to you, your overdue and upcoming tasks, and mark a work order complete from the same page.
- Show which tasks a task waits on
Record that a task depends on another task, or holds one up, from its Dependencies tab, so everyone sees what has to happen first.
- Start and stop a timer
Start a timer from Log time on a job, customer or the Schedule, start it earlier if you forgot, switch jobs in one step, and stop it from the green timer at the top of every page.
- Submit and approve a timesheet
Find a person's timesheet for a pay period on the Timesheets page, check its entries, submit it, and approve, reject, lock or reopen it as a supervisor.
- Submit and approve time entries
Move a time entry from Draft to Submitted, approve or reject it as a supervisor, lock it for payroll, and fix a mistake on a finished entry with a correction or reversal.
- Work on a portfolio
What a portfolio's page shows, how to follow the projects in it, how to edit or archive it, and every action in its Actions menu.
- Work on a project
What a project's page shows, what each tab is for, how to edit the project, and every action in its Actions menu.
- Work on a task
What a task's page shows, how to change its owner, status, dates and progress in place, what each tab is for, and the actions in its Actions menu.
