Work on a task
What a task's page shows, how to change its owner, status, dates and progress in place, what each tab is for, and the actions in its Actions menu.
In the sidebar, open Projects & Tasks, then Tasks, and open a task from the list. The page address is /work/tasks/ followed by the task and the tab you are on. It is laid out like every record page (see Find your way around a record page). A task has no separate edit page: you change it right on this page.
What you see
- The summary strip: what the task hangs off (an account, project, work order or parent task), the Task Number, the Owner, the Progress and the Timeline.
- The details panel on the left, where you edit the task:
- Parent context: the account, portfolio, project, work order and parent task it belongs to.
- Task details: press the title to rename it. Change the Status, the Phase, the Owner, the Parent Task, and the Start and Due dates. Each change saves as soon as you pick it. Set the status to a done status to finish the task (Complete or archive a task).
- Description: type, then press Save. Only your team sees it.
- Delivery: Priority, Progress Mode (Derived works it out for you; Manual lets you type the Manual Progress percentage), the Estimate in minutes, the Logged Time, Child Tasks and Tags.
- Additional details: your organization's own fields.
The tabs
Some tabs only appear when your plan includes the feature.
- Details: linked records, who is involved, what it waits on, and shortcuts to the other tabs.
- People: Collaborators and Followers (both get task updates), and Visibility, which can narrow who may see or change the task with Add rule.
- Subtasks: child tasks (Break a task into subtasks).
- Dependencies: which tasks this one waits on or holds up (Show which tasks a task waits on).
- Checklists (Run a checklist on a work order or record).
- Time: Log time opens the shared time drawer. Enter hours and minutes, or choose Start timer there; an active timer offers Stop timer. Open ledger opens the full time entries (Log time on a work order, project or task).
- Execution: Reminders (pick people, a time and a note, then Add reminder) and Recurrence, which repeats the task Daily, Weekly or Monthly; press Save recurrence after setting it.
- Comments: a discussion with teammates (Comment on a task).
- Notes, Files and Access (Add a note to a customer or record, Attach a file or photo to a customer or record, Keep gate codes and passwords on a customer or record).
- Activity: everything that happened on the task (See what happened on a record).
The Actions menu
- Back to tasks, Add note and Upload file.
- Save as template saves the task as a task template (Create a task template).
- Customize tabs (Change the tabs on one customer or record).
- Archive task, last and in red. Archive task? warns that its subtasks go too; nothing is deleted. An archived task shows a banner with Restore, and Restore task heads the menu.
If something looks different
- The fields are greyed out: your role cannot update tasks, or you are looking at an archived task.
- Owner is greyed out while other fields work: your role cannot reassign tasks.
- People, Subtasks, Dependencies, Time, Execution or Comments is missing: that feature is not part of your plan, or an admin hid the tab.
