See what you collected and how customers paid
See cash collected after fees, how much is applied to invoices and what was refunded, break it down by card, cash or cheque, and list every payment with its deposit date.
In the sidebar, open Reports, then Payments, then Payments Overview. The page address is /insights/finance/payments. The breakdown by method is Payments by Method at /insights/finance/payments/methods, and the full list is Payment Detail at /insights/finance/payments/detail.
Before you start
- Your admin has to give your role permission to view finance reporting. Exporting needs a separate export permission.
- All three pages have the same Scope filters. Moving to another page with the links under Drilldowns starts it on its own default range, so set the filters again on each page you open.
Steps
- Set Payment date (start) and Payment date (end). The report opens on the last 30 days.
- To narrow it, pick a Branch, a Source account or an Effective / payer account, and a Currency focus if you take more than one currency.
- Under Payment method, leave All methods or pick one: Card, Cash, Check, ACH, Bank transfer, Wire or PayPal.
- Read the Payments KPIs cards.
- Under Drilldowns, press Payment methods to see the same totals split by how customers paid.
- Press Payment detail to list every payment. Type in the search box (its prompt reads Search payment number, reference, or account), sort by Payment date, Gross amount, Net amount, Processor fee, Deposited date, Applied amount, Unapplied amount, Refunded amount and more, then choose Desc or Asc.
- Press a payment number to open the payment, or the account name to open the customer's billing page.
- Press Print for a printable copy, Export to queue a file, or Saved views to keep the filters and sort for next time.
What you see
- Net after fees is what you actually received, with the processor fees and the change against the prior period underneath.
- Applied is the part matched to invoices, with the number of payments. Unapplied is money not yet matched, with the number of correction payments. Refunded is what went back to customers.
- On Payments by Method, Method breakdown shows the total collected, then one row per method with the number of payments and the collected, applied, unapplied and refunded amounts.
- On Payment Detail, the columns are Payment, Effective account, Timing (payment date and when it was deposited), Method / status, Settlement (the payout reference), Coverage (gross, tips, fees and applied amounts) and Context (how many documents it was applied to, any refunds, and the reference number).
- Under Operator actions, a green chip says how fresh the numbers are.
If something looks different
- No payment methods match the current filters. or No payments match the current filters.: widen the dates or clear a filter.
- Multiple currencies in scope: totals stay split until you pick one under Currency focus.
- Check the payment date range: the end date is before the start date.
- A payment reads Not deposited or Not marked deposited: it has not reached your bank yet, or it was not taken through Nova Payments.
