See who owes you money and how late it is

Use the A/R Summary, A/R Aging and Overdue Trends reports to see the total owed, how much is overdue, how old the balances are and whether the picture is getting better or worse.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Reports, then Receivables, then A/R Summary. Three pages answer this question: A/R Summary at /insights/finance/accounts-receivable, A/R Aging at /insights/finance/accounts-receivable/aging and Overdue Trends at /insights/finance/accounts-receivable/trends.

Before you start

  • Your admin has to give your role permission to view finance reporting.
  • All three pages have the same Scope filters. Moving to another page with the links at the bottom starts it on its own default range, so set the filters again on each page you open.

Steps

  1. Open A/R Summary. Set Date range (start) and Date range (end); the balances are worked out as of the end date.
  2. To look at one part of the business, pick a Branch, an Effective / payer account (the account that gets the bill) or a Source account (the account the work was done for). Choose a Currency focus if you bill in more than one currency.
  3. Read Executive KPIs, then scroll to Aging snapshot for the totals by age.
  4. Press Aging view under Drilldowns to open A/R Aging, which shows only the age buckets, one group per currency, with the date the balances are taken from.
  5. Press Overdue trends to open Overdue Trends and compare this period with the one before it.
  6. Press A/R detail on any of the three pages when you need the account-by-account list. See Find the accounts with the biggest overdue balances.

What you see

  • On A/R Summary: Open balance (everything owed), Overdue balance (the past-due part), Unapplied cash (money received but not matched to an invoice), Available credits, Disputes with the number of promises to pay, and Overdue documents.
  • The age buckets are Current, 1-30 days, 31-60 days, 61-90 days and 90+ days. Each shows the amount and how many invoices, statements or other documents are in it.
  • On Overdue Trends: the Overdue trend snapshot cards show Open balance and Overdue balance with the change since the prior period, Overdue rate (the overdue share of everything owed) and Promise-to-pay with the number of disputes flagged. Trend points lists open, overdue and rate for each point in the range, and Aging shift compares each bucket with the prior period.
  • Under Operator actions, a green chip says how fresh the numbers are, and you can export the report. See Export a finance report.

If something looks different

  • No open receivables: nothing in the scope is owed. Widen the dates or clear the account filters.
  • No aging buckets are available for this scope yet.: the balances have not loaded, or the filters leave nothing to age.
  • The filter footer turns red with a date message: the end date is before the start date. Fix the dates and the report reloads.
  • Amounts are listed per currency with no combined total: you have more than one currency in scope. Pick one under Currency focus to compare periods.
