Turn folders on or off for one customer or record
Choose whether one customer's or work order's Notes, Files and Access tabs use folders, for that record alone or for everything under a customer, and stop showing folders on one tab.
In the sidebar, open Accounts, then All Accounts, and open the customer
(or open the work order from Work Orders under Operations). Press
Actions, then choose Folder settings. A panel opens on the right. A
customer's page address is /accounts/ followed by the customer.
The organization decides whether each kind of record uses folders (Turn on folders for a record type). This panel changes it for this one record, and on a customer also for everything under the customer. The most specific choice wins, in both directions: a record can turn folders on where the organization has them off, or off where it has them on.
Before you start
- Your role needs permission to change folder settings. Without it Folder settings is missing from the menu, or the panel is read-only.
- If your plan does not include per-record folder settings, the panel says so and the organization's choice applies everywhere.
Steps
- Each row is a tab: Notes, Files and Access. Under the tab's name, a chip shows what it does today, Folders on or Folders off, and a line says where that comes from.
- In the column for this record, choose On, Off, or the first choice, which follows the customer's or the organization's setting.
- On a customer, the column Everything under this customer sets the same for that customer's work orders and other records.
- Press Save. Nova says Folder settings saved.
Stop showing folders on one tab
For a quicker way to turn folders off on the tab you are looking at:
- In the folder list on the left of the Notes, Files or Access tab, open its menu and choose Stop showing folders here.
- A message says how many folders and filed items this hides, and that nothing is deleted or moved. Confirm it.
- The tab shows one flat list. To bring folders back, open Folder settings from the record's Actions menu.
What you see
- Turning folders off hides the folder controls, never the notes or files. Everything that was filed stays filed and comes back as it was when folders are turned on again.
- Not supported means that kind of record cannot have folders on that tab.
