Create an experience profile
Save a named profile that fixes the work mode, tab labels and note or file folders a group of people see, then assign it to a role or a person.
In the sidebar, open Administration, then choose Work Modes under Workspace. The page address is /settings/org/experience (its heading still reads Workspace Experience), and Add profile opens at /settings/org/experience/create-profile.
A profile bundles a work mode with the labels, tabs and folder routing for each record type. Assign it to a role or a person and everyone covered gets the same layout.
Before you start
- Your admin has to give your role permission to write experience settings. Otherwise Add profile is greyed out.
- Turn on Enable experience modes first; see Turn on work modes for your team.
Steps
- Press Add profile.
- Type a Profile label, for example "Cleaner - Cabin Turnover". Nova keeps a stable key for it behind the scenes.
- Add a Description saying who the profile is for and when to assign it. It only helps people pick the right one.
- Choose a Base mode: the mode the profile starts from before any per-record-type changes.
- Press Create. The profile opens for editing.
- Under Profile details, adjust the Label, Description and Base mode, and use Enabled to take the profile out of use without deleting it.
- Under Entity routing and overrides, open a record type such as Work orders or Accounts. For each one you can keep Use base mode or pick a different mode, and route notes and files to a folder: choose Folder path and type a relative name like "Field Log", or leave Workspace root so items stay unfiled.
- Changes save on their own as you go. Close the drawer when you are done.
What you see
- The profile list shows each profile's status: Enabled, Disabled, or Default for the organization default. Nova's built-in profiles are marked System in the list and System template in the drawer; yours are marked Custom.
- In the drawer header, Preview shows what the profile resolves to, Duplicate makes a copy to start from, and Delete removes a profile of your own.
- Assign the finished profile under Role defaults or User assignments, or as the Organization default profile; see Turn on work modes for your team.
If something looks different
- Create refuses with "Enter a profile label first.": the label is empty.
- Delete refuses: built-in profiles cannot be deleted (turn Enabled off instead), and a profile that is still assigned to the organization, a role or a person has to be unassigned first.
- A folder path shows a routing-unavailable badge: folders are switched off for that record type in Folders. See Turn on folders for a record type.
