Set the file lifecycle policy
Choose how long deleted files are retained and explicitly save automatic cleanup changes after reviewing their impact.
Open Administration, then Data, then File Lifecycle Policy. You can also open the policy from the Recycle Bin.
Steps
- Enter File retention (days), a whole number from 1 to 36,500.
- Choose whether to Automatically purge expired files.
- Press Save policy. When enabling cleanup or shortening retention, review the number of deleted files currently old enough for cleanup before confirming.
Changes stay unsaved until you press Save policy. Discard changes returns to the saved policy. Leaving with unsaved changes prompts you to save or discard them.
When automatic cleanup is off, deleted files remain recoverable until an authorized person permanently removes them. Retained content still uses storage. When cleanup is on, eligible files are removed by background cleanup; protected content may be retained longer.
The impact count is a snapshot and can change before cleanup runs. Permanent removal cannot be undone. This policy applies to files; notes, communications and discarded drafts have their own rules, shown in the Recycle Bin.
