Turn on work modes for your team

Switch on work modes so field staff, office staff and managers each see the notes and files layout that suits them, pick the modes you use, and set defaults by role or per person.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Administration, then choose Work Modes under Workspace. The page address is /settings/org/experience. The page heading still reads Workspace Experience.

A work mode changes how the notes, files and other tabs on a record look for a person, without changing what they are allowed to do. Nova ships six modes: Field Work, Turnover, Quality Review, Operations, Standard and Management.

Before you start

  • Anyone whose role can read experience settings can open the page. To change anything, your admin has to give your role permission to write experience settings.
  • This page saves each change on its own. A Saving indicator shows in the corner of the top section; if it reads "Unable to save changes automatically.", check your connection and try again.

Steps

  1. Turn on Enable experience modes. While it is off, everyone gets the plain notes and files tabs.
  2. Decide whether people may pick their own mode with Allow user switching. On, they get a mode switcher; off, they always use the mode Nova works out for them.
  3. Pick an Organization default mode. Auto lets role and personal settings decide; choosing a mode makes it the fallback for everyone.
  4. Optionally pick an Organization default profile. A profile is a saved bundle of labels, tabs and folder routing; see Create an experience profile.
  5. Press Mode catalog to switch off modes you do not use and to rename the ones you keep. At least one mode has to stay on.
  6. Press Role defaults to set a mode and a Default profile for a role. The list offers Owner, Admin, Technician, Member and Read only. Auto for the mode and Organization default for the profile leave the role on the organization setting.
  7. Press User assignments to give one person their own profile. Search by name or email, then pick an Assigned profile; Use role and org defaults removes the exception.

What you see

  • The list below the top section is your profiles. Search it with Search profiles, or filter by status and base mode from the filter button.
  • Preview opens a drawer that works out exactly which mode, profile, labels and tabs a given person would get, so you can check before you change anything.
  • Entity defaults sets labels, tabs and folder visibility per record type and mode. Most organizations never need it.

If something looks different

  • The switches are locked and Add profile is greyed out: your role can read these settings but not change them.
  • Turning a mode off in Mode catalog refuses: it is the last mode left. Turn another one on first.
  • A team member says the mode switcher is missing: Allow user switching is off, or Enable experience modes is off.
  • Role defaults does not list Dispatcher or Bookkeeper: those roles cannot be given their own default here yet, so people with them get the organization default mode unless you give them a profile under User assignments.
