Nova Help

Follow an import and fix what stopped it

Open one import run to watch its progress, read what blocked it, choose how matched records are handled, rerun the preview, approve it, start it, resume it, retry it or cancel it.

Updated in release 0.0.1

In the sidebar, open Administration, then choose Imports under Data. Open the Import jobs tab and press a run in the list, or press View job details at the end of Start import. The run opens in a panel over the list, and the page address is /settings/org/imports/jobs/ followed by that run.

Uploading a file and matching its columns is covered in Import customers and work orders from a file.

Before you start

  • Anyone who can view imports can open a run. Starting, resuming and cancelling a live import, deciding conflicts, approving and reading the audit history each need their own permission; a button you cannot use is missing or greyed out.

Steps

  1. Read the heading line: Import preview, Dry run, Import run or Import failed, with its status and how many records Nova checked.
  2. If a red box names a problem, read it. Show technical details gives the exact message for Nova support.
  3. Open Validation to see each problem Nova found. Ones tagged Blocking must be fixed before the live import can start. Nova cannot edit a row inside a run: fix the row in your file and start a new import from Start import.
  4. Open Conflicts for rows that match records already in Nova. For each one, choose a Resolution policy (Review first, Create only, Update Nova value, Skip existing or Create if missing), add a note if you like, and press Save resolution. Nova answers Conflict policy saved. Rerun dry-run to apply the new plan.
  5. Press Rerun dry-run, then Rerun preview to confirm. Nova rebuilds the preview from the same file with your decisions.
  6. Open Plan to see how many records will be created, updated and skipped, group by group.
  7. When the run reads Ready to start live import, press Start live import. If your organization asks for an approval first, the run waits for one instead.
  8. To approve, someone allowed to approve imports opens Approvals, writes a Decision note and presses Approve or Deny, or presses Approve and queue live import at the top.

What you see

  • While a live import runs, a progress bar shows how far it has got, and Record group status on Overview lists each group (customers, contacts, addresses and so on) as Queued, Executing, Completed, Skipped or Failed. The panel refreshes every few seconds.
  • When a Nova export includes files, the live import may pause while Nova checks a file for safety. Nova retries automatically when the check completes; you can return to the run later to see its progress.
  • A run whose preview passed hides its details; Review details shows them.
  • Mappings lists which row in your file became which Nova record, and Audit keeps a record of every step and decision.
  • Close returns you to the list.

If something looks different

  • The run reads Needs resume, or says there has been no progress update for several minutes: press Resume import. Nova carries on from the records it already finished.
  • The run reads Import failed: fix what the red box describes, then press Retry. A run that failed part-way through its live import carries on with the groups that did not finish; one that failed earlier rebuilds its preview.
  • You need to stop a queued or running import: press Cancel, then Cancel import. Records a running live import has already written stay in Nova.
  • There is no undo for a finished import. Correct the records themselves, or import a corrected file with When records already exist set to Update Nova value.
  • The run shows Dry-run only: it was made to report only and can never write records. Start a new import when you are ready to import for real.
  • Save resolution is greyed out: your role cannot decide conflicts, or the option you picked needs permission to override matching.
  • Approve is greyed out on a run you started yourself: your organization's Import approval policy requires someone else to approve it.
