Find work that needs attention

Go through the work orders, tasks and customer bookings waiting for a day, a time or a person, see why each one is waiting, and drag it onto the Schedule or press Schedule… to place it.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Operations, then Needs attention. The page address is /schedule/attention. The same list sits beside the calendar on the Schedule (/schedule): press Needs attention in its toolbar. The number on that button is how many items are waiting.

Before you start

Your admin has to give your role permission to view the schedule. To place the work you also need permission to edit the schedule; without it Schedule… is greyed out and cards cannot be dragged. Customer bookings are listed only if you may read bookings, and can be dragged only if you may change them.

Steps

  1. Read each card: the category label and icon, the record number, the title, the customer, why it is waiting (Needs date, Needs time, Needs someone or Needs review), when it happens if it has a day, its priority, its due date and how long it has waited. Cards are grouped by why they wait. Done and canceled work never waits here.
  2. Narrow the list with the search box (a number, a title or a customer), Type (the enabled work and booking categories) and Sort (Oldest first, Due date or Priority). The order and the search cover the whole list, not only the cards already loaded. On the Schedule, Type offers only the kinds of work the calendar is showing, so a card you drop never lands somewhere the calendar hides. On this page you can also filter work orders by Status, Tag and Project; Status and Tag leave the tasks and bookings out, and Project leaves the bookings out.
  3. On the Schedule, drag a card onto the calendar:
    • onto a time in the day or week view to give it that start time, snapped to the schedule's time steps, for as long as the work is expected to take;
    • onto the all-day strip, a day heading or a month day to put it on that day with no time yet;
    • into a person's lane to assign them at the same time. Dropped anywhere else, the work keeps whoever it already had. The card leaves the list, the block appears where you dropped it, and a message names what happened with Undo to put it back, with its old person if the drop changed it.
  4. Without dragging, press Schedule… on a card, or move to the card with the Tab key and press Enter. On the Schedule this opens the item's schedule form (for a booking, its Set date or Set time window); from this page it opens the Schedule with that form ready. Set the day, the time and who does it, then save.
  5. Press Open on a card to open the work order, task or booking itself.
  6. To take a work order back off the Schedule, drag its block onto the Needs attention panel, or open it on the Schedule and press Take off the Schedule. You can also press Take off the Schedule in Change date/time on the work order's own page. Only the visit you picked comes off: a work order with another visit still on the Schedule keeps its place. It returns to the list with Undo, which puts back the same time, arrival window, confirmation and person. Tasks and bookings come off the same way by dragging.

Bookings only need a person when their service requires one. Self-service rentals and lodging do not appear just because no team member is assigned. An activity session’s staffing appears once, rather than once for every attendee.

What you see

On a computer the panel is docked at the right of the calendar. Drag its left edge to make it wider or narrower and press Close Needs attention panel to put it away; the Schedule remembers both for you. On a phone or a narrow window the same button opens the list above the calendar instead; pick Schedule… on a card and the list folds away. Dragging needs a computer, and on a narrow window the list is never a place to drop a block: take a work order off from its own drawer instead.

While a drop is being saved its card leaves the list, so the same card cannot be dropped twice. A screen reader hears what is picked up, where it is over and where it lands; press Escape to put it down where it was.

In the Android app, the waiting-work list shows bookings, activities, reservations and rentals with their record number, customer, service and the reason they are waiting. Tap a row to open that record.

A card may also show a call insight line when Nova has notes from a recent customer call about that work. Saved views keeps a set of filters for next time, and Refresh list reloads the queue.

If something looks different

  • The list says no unassigned items match these filters: everything has a day, or a filter is hiding it. Clear Status, Tag and Project, and set Type to Everything.
  • A card says Needs time: the work order has a day but no time. Drag it onto a time, or open it and set one; see Reschedule a work order.
  • A task says Needs someone: it has a day but nobody on it. Drop it in a person's lane, or press Schedule… and pick an assignee; see Put a task on the Schedule.
  • A drop asks Override scheduling conflicts?: the person is already busy then. Confirm to keep the new time, or cancel to leave the card where it was.
  • A note says someone changed this on the Schedule since you picked it up: another person moved or edited that work order in the meantime, so nothing was changed. The Schedule now shows the latest; check it and try again.
  • A booking waits under Needs review: check the approval or identity issue on its record before confirming it. See Find a booking on the calendar.

On a computer, grab any part of the card body, including its title or customer name, and drag it onto a day or time. The grip and grab cursor mark cards you can drag. The title still opens the item when clicked; links and action buttons work separately. On a phone, scroll normally or hold the card before dragging. Schedule… and the card’s Enter or Space keys offer the same scheduling choice without dragging.
