Put a task on the Schedule

Put a task on the Schedule at a set time, any time on a day, or leave it waiting in Needs attention until you pick a day, with or without someone assigned.

Updated in release 0.0.1 Needs permission from your admin Open this page in Nova

In the sidebar, open Operations, then Schedule. The page address is /schedule. A task can sit on the Schedule three ways, and you can move it between them at any time.

  • At a time: it has a start and an end, like a visit.
  • Any time that day: it belongs to a day but not an hour, like "call the supplier on Tuesday". It shows in the strip at the top of that day.
  • Not scheduled yet: it has no day. It waits in Needs attention until someone picks one.

Assigning someone is optional in all three.

Before you start

Your admin has to give your role permission to edit the schedule. To pick who does the task you also need permission to assign schedules, and that person has to be set up as a schedule resource.

Steps

  1. On the Schedule, press the add button and choose Task.
  2. Under When is this task?, pick At a time, Any time that day or Not scheduled yet.
  3. For At a time, set the date, start and end. For Any time that day, set the Day. Not scheduled yet needs neither.
  4. Pick the account, type the Title and, if you like, open Assignee and choose who does it.
  5. Press Create task.

To schedule a task that already exists, switch the sheet from Create to Schedule, pick the task, and follow the same steps.

Change it later

  • Press the task on the Schedule to open it. On a task with a time, press Any time that day instead to keep the day but drop the time, or Add time on an any-time task to give it one. The task keeps its day either way.
  • In the day or week view, drag an any-time task from the strip at the top of the day onto a time to give it that time. Drag a timed task up onto the strip to make it any time that day. Drag either one onto another day's strip to move it there.
  • In the month view, drag an any-time task to another day. It stays any time.
  • Press Not scheduled yet — move to Needs attention to take it off the calendar, or drag its block onto the Unscheduled panel. Whoever it is assigned to stays assigned.

Schedule a waiting task

  1. Press Unscheduled on the Schedule to open the list of work waiting for a day.
  2. Drag the task's card onto the calendar: onto a time for At a time, onto the all-day strip or a day for Any time that day, into a person's lane to assign them as well. Dropped anywhere else, the task keeps whoever it already had. A message names the day and time with Undo.
  3. Or press Schedule… on the card, pick At a time or Any time that day, set the day (and the times), choose an assignee or leave it empty, then press Schedule task or Put on this day.

What you see

  • An any-time task reads Any time on the calendar and in its preview, never a midnight start. Notifications about it say "any time that day".
  • On the task's own page, the summary shows On the Schedule with the day, for example "Any time on Tue, Sep 30", or "Not scheduled yet". Times are shown on your organization's clock, the same one the Schedule uses.
  • Putting a task on the Schedule, moving it or taking it off never changes its Due date or start date. Those are only what someone typed on the task, so a task can sit on Tuesday and still be due Friday.
  • The Schedule shows work orders, tasks, projects and customer bookings together; the filters narrow it, and the Unscheduled panel lists only the kinds the calendar is showing, so a task you place is on the calendar the moment you drop it.

If something looks different

  • Pick the day for this task. appears: choose a day, or pick Not scheduled yet.
  • The assignee is refused because they are not set up on the Schedule: add them as a schedule resource first, or leave the task unassigned.
  • A repeating task cannot be Not scheduled yet. Give it a day, or stop it repeating first.
  • You created a task from Tasks instead: tick Put this task on the Schedule on the new task page to use the same three choices. See Create a task.
