Work on a work order

What the work order page shows, what each tab is for, and every action in its Actions menu, from On my way to Customize tabs.

Updated in release 0.0.1 Needs permission from your admin

In the sidebar, open Operations, then Work Orders, and open a work order from the list. The page address is /work-orders/ followed by the work order and the tab you are on. The page is laid out like every record page (see Find your way around a record page).

What you see

  • At the top: the work order's title with its status. Press the status to pick another open status, Mark complete, or Cancel work order… (see Complete or cancel a work order). Under it sit the Schedule and the Account, and the Project when one is linked.
  • In the summary strip: Priority, Location, Assignments and Schedule. Press one to change it straight away.
  • In the details panel on the left:
    • Work order details: the account, the service location (copy the address or open the map), the priority, the status, the project (Link project or Change), the Work order number, and the Customer PO. A follow-up shows Created from; the work order it came from shows Follow-ups.
    • Schedule: Start, End, Window and Duration.
    • Workforce tracking: shown once someone is assigned; it shows whether each assigned technician's device is reporting, what they are on now and next, and when they were last seen.
    • Additional details: your organization's own fields.

The tabs

  • Overview: checklist and billing readiness, the Status card, the service location map, the Work order brief with Internal notes and tags, the customer's equipment, and shortcuts to other pages.
  • Notes, Files and Access: notes, photos and documents, and gate codes or passwords for this work order (Add a note to a customer or record, Attach a file or photo to a customer or record, Keep gate codes and passwords on a customer or record).
  • Lifecycle: the messages the customer gets about this work order. Choose Turn off under Customer messages to handle this one yourself, press Ask for a review, and see what is coming up and what was sent.
  • Planning: the people and equipment the work needs and who fills each spot (Staff a work order from its Planning tab).
  • Tasks: tasks linked to this work order, grouped by phase.
  • Checklists: checklists to run on this work order (Run a checklist on a work order or record).
  • Time: the time logged to this work order and its tasks. Starting your own timer on the work order (open Log time near its title, then choose Start timer in the drawer) moves it to its started status when your role can change the status; one already in progress, completed or canceled stays as it is (see Start and stop a timer).
  • Billing: invoice lines, quotes, invoices, deposits and payments (Bill a customer from a work order).
  • Agreements: documents for the customer to sign, such as a work authorization.
  • Activity: everything that happened on the work order (See what happened on a record).

The Actions menu

Press Actions. Depending on your role you see:

If something looks different

  • A tab is missing: your role cannot see it, the feature is off for your organization, or an admin hid it for this work order or this customer.
  • Change date/time or Change assignment is missing: your role cannot edit or assign the schedule.
  • On my way is missing: On my way messages are off, or your role cannot send them.
  • The status cannot be changed and says completed and canceled work orders are permanent: create a follow-up work order instead.

Press the directions icon beside the service address to open directions from your current location. The same action appears on the Schedule’s item drawer and shared location maps. It uses the saved map pin when available, or the address when there is no pin. On a phone, it opens the device’s maps experience.
